Our Process 01
Communication First
Clear communication prevents frustration — it’s that simple.
Whether we’re managing a seasonal contract or building a brand-new outdoor space, we begin every relationship by aligning on expectations, responsibilities, and how you prefer to stay in the loop. We don’t assume what works for you. We define it together.
For the detail-oriented folks (we love you), here’s exactly how that looks in practice:
- We confirm how you prefer updates — email, phone, or on-site reviews.
- We make sure everyone involved in approving direction is aligned early.
- Design adjustments and material selections are reviewed before installation begins.
- Change requests are discussed clearly before being added to the scope.
- We establish primary site contacts and escalation procedures.
- Service triggers (snow events, salt thresholds, etc.) are clarified in advance.
- Reporting expectations and documentation standards are outlined together.
- Emergency response protocols are defined upfront, before they’re needed.
Our Process 02
Structured Scheduling
Our calendar is planned carefully to protect every commitment we make.
Once agreements are signed and deposits are received (where applicable), your work gets a place on the schedule and preparation begins.
We don’t overbook. And we don’t double-promise.
- Investmentss are scheduled based on signed agreements and deposit receipt.
- Materials are ordered in advance to avoid mid-investment delays.
- Additional work is scheduled separately so it doesn’t disrupt active phases.
- Seasonal contracts are scheduled before the season starts.
- Snow response protocols are pre-planned ahead of the first snowfall.
- Additional service requests outside the contract scope are quoted and scheduled separately.
- Site visits and performance reviews are structured throughout the season.
- Larger investments are phased to minimize operational disruption.
- Work windows are coordinated around tenant or business needs.
- Scope additions are reviewed before they impact agreed schedules.
- Investments are scheduled based on signed agreements and deposit receipt.
- Multi-week investments follow a payment schedule aligned with defined investment phases.
- Investments under two weeks follow the same deposit structure as homeowner enhancement investments.
Our Process 03
Defined Scope
Before any work begins, we define exactly what’s included — and what isn’t. Clear scope protects timelines, budgets, and, most importantly, relationships.
Good investments aren’t built on assumptions. They’re built on agreement.
- Materials, finishes, and layout are reviewed prior to installation.
- Adjustments are documented and approved before we proceed.
- Agreed phases are completed fully before additional features are layered in.
- Contract inclusions and exclusions are outlined clearly.
- Service frequency and triggers are defined upfront.
- Out-of-scope requests are reviewed and approved separately.
- Investment phases, timelines, and access requirements are clarified.
- Budget alignment is reviewed prior to execution.
- Additional scope is reviewed and approved before implementation
Our Process 04
Investment Structure
Every investment requires preparation. From reserving time in our schedule to coordinating materials and trusted partners. Our payment structure reflects the level of commitment behind that preparation, on both sides.
Full details are reviewed during the proposal phase, so expectations are clear well before work begins. No surprises, no awkward conversations later.
- Deposits secure your spot on our schedule.
- Progress payments align with investment milestones.
- Final balances are reviewed together during the completion walkthrough.
- Seasonal billing structures are defined in the contract.
- Monthly installments or event-based billing is clarified in advance.
- Documentation standards are outlined at the agreement stage.
- Deposits and milestone payments align with investment phases.
- Invoicing timelines are coordinated with property management processes.
- Multi-week investments follow a payment schedule aligned with defined investment phases.
- Investments under two weeks follow the same deposit structure as homeowner enhancement investments.
